Foundation Lettings
Every compliance date, on one dashboard.
Periodic tenancies, deposits, section 13 rent increases, gas safety, EICR, EPC. The lettings book your agency actually runs on, not a certificate folder nobody opens until it's too late.
Letting agent software in detail
What's already in there
- Rent-roll, monthly and annualised
- Gas / EICR / EPC / PAT / legionella tracking
- Compliance due in the next 90 days
- Deposit scheme + protection date on file
- Section 13 rent increases, on the right notice
- Camera check-in/check-out inventory reports
Your lettings book, on one page.
And the client money that sits behind it.
Due, collected, overdue and unidentified, on a rent book you can reconcile against your client account. The export sends your management fees to Xero or QuickBooks and the rent stays out of it, because money held for a landlord is not your turnover.
Built for the certificate that lapsed last time.
Every tenancy, one record
Landlord, tenants, rent, deposit scheme and start date, set up as a periodic tenancy under the Renters' Rights Act. Attached to the property they belong to, not a separate spreadsheet.
Compliance that counts down
Gas safety (CP12), EICR, EPC, PAT and legionella dates tracked per property, colour-coded as they approach expiry so nothing lapses quietly.
Rent-roll, always current
Monthly and annualised rent-roll totals calculated live from active tenancies. No month-end reconciliation.
Compliance due, next 90 days
A standing list of every certificate expiring soon across your whole book, sorted by urgency.
Section 13 rent increases
Serve a rent increase on at least two months' notice and no more than once a year. The earliest lawful start date is worked out for you, and a notice that is too soon is flagged with the reason.
Deposit scheme on file
DPS, mydeposits, TDS or custodial. Recorded per tenancy along with the protection date, so you can answer a dispute in seconds.
Inventory, shot on your phone
Check-in, check-out and interim inspections. Photograph every room from your phone or iPad's own camera, rate the condition, and it's a branded PDF before you've left the driveway.
The gas safety certificate that lapsed wasn't on a calendar. Now it is.
Before
Certificates live in a folder, a spreadsheet, or someone's memory. You find out a CP12 lapsed when a tenant asks for it.
Now
Every date sits on one dashboard, colour-coded as it approaches. 90 days out, not the morning it expires.
The questions we're usually asked over the phone.
Is this a separate product from Foundation CRM?
No. Lettings is a tab inside Foundation CRM, included from Foundation Growth upwards. If you already have CRM, you already have Lettings.
Does it handle sales too, or only lettings?
Foundation CRM handles both in one system. The same property record carries a sale or letting status, and Lettings is simply the compliance + tenancy layer on top.
What compliance dates does it track?
Gas safety (CP12, annual), EICR (5-yearly), EPC (10-yearly), PAT testing and legionella risk assessments. The five most commonly missed lettings certificates.
Can I see rent-roll across my whole book?
Yes. Monthly and annualised totals are calculated live from every active tenancy, visible the moment you open the Lettings tab.
How do check-in and check-out inventories work?
Start a report against a property, walk it room by room, and photograph each one straight from your phone or iPad's camera. No app to install, it's built into the browser. Rate each room's condition, add notes, and generate a branded PDF on the spot. Check-out reports sit alongside the original check-in for an easy comparison.
Never chase a lapsed certificate again.
