Estate agent CRM
The estate agent CRM for independent UK agencies.
Foundation is a CRM built for UK estate and letting agents, not adapted from a sales tool. Every applicant, vendor, landlord and tenant, every viewing, offer and chain, and the lettings book with its compliance dates, in one place you can run from the office or your phone. It takes an afternoon to set up, there is no contract, and you can export everything at any time.

What an estate agent CRM has to do
A generic CRM tracks a deal through stages. An agency needs more than that: one property has a vendor, several applicants, viewings, offers, a buyer with a chain behind them, two solicitors and a memorandum of sale, and all of it has to stay in step. A lettings property adds a landlord, tenants, a deposit, certificates that expire and rent that falls due every month.
So the test of an estate agent CRM is simple: can anybody in the office answer "where are we with this house?" in ten seconds, without ringing anyone? Foundation is built around that question.
What is in Foundation's CRM
- Contacts for every role: applicants, vendors, landlords, tenants, solicitors and contractors, with their full history on one page.
- Properties for sale and to let, with material information, EPC, photos, floor plans and a branded brochure from a button.
- Viewings booked into a shared calendar, with confirmations sent and feedback captured for the vendor.
- Offers, memorandum of sale and sales progression, chain by chain, with what is missing at each stage shown on the property.
- Applicant matching: buyers and tenants registered against what they want, matched to new instructions as they come in.
- Appraisals with comparables, a branded PDF and e-signature on the agency agreement.
- Automatic email and SMS follow-ups, so nobody who enquired is forgotten.
- A daily list of who to call, drawn from your own database.
- Listings out to Rightmove from the property record, with no retyping.
- Pipeline, negotiator and source reports.
- An iPhone and iPad app for viewings, keys and messages away from the desk.
Lettings in the same system, under the Renters' Rights Act
Most independents do both sales and lettings, and keeping them in two systems is how a landlord who wants to sell ends up as a stranger to the sales side. In Foundation they are one database.
Tenancies are set up as periodic tenancies, as the Renters' Rights Act requires for England from 1 May 2026. The CRM checks deposits against the Tenant Fees Act cap, tracks gas safety, EICR, EPC, deposit protection and Right to Rent, and works out the earliest lawful start date for a section 13 rent increase. Tenants get their own page to report repairs, contractors quote, landlords approve, and the rent book, arrears, keys and landlord statements sit alongside.
Built to win instructions, not only to record them
A CRM that only stores what you already have does nothing for next month. Foundation puts an instant valuation tool on your website, built on HM Land Registry sold prices, which captures the homeowner's details before showing the figure and drops them straight into the CRM. Stamp duty, mortgage and yield calculators, a buyer and tenant register and a weekly local market report do the same job: they turn visitors into contacts you can call.
Everything a client sees carries your logo, colours and contact details. There is no Foundation badge on any of it.
How it compares with the CRMs you may be using
The established platforms were built for multi-branch groups and are priced and configured that way: long contracts, setup fees, training days and per-branch pricing. That suits a forty-branch network. For an independent or a self-employed agent it usually means paying for an enterprise system and using a fraction of it.
Foundation is priced per agency, month to month, with nothing to sign and a free trial that needs no card. It is quicker to learn because it does less of what a network needs and more of what a single office does every day. If you are moving from another CRM, we import your contacts, properties and tenancies for you.
What it costs
Essentials is £29 a month for the valuation tool, calculators and the buyer and tenant register, for agencies that already have a CRM. The CRM itself starts on Growth at £49 a month, with sales, lettings and follow-ups. Signature, at £89 a month, adds portal feeds, social posts, local SEO, reports, invoicing and three logins. Every plan includes the one below it, and extra logins are £10 a month each.
There are no setup fees, no per-listing fees and no contract. Pay monthly or yearly, and cancel from Settings.
Questions agents ask
What is an estate agent CRM?

What is the best CRM for a small or independent estate agency?
One you can set up in a day, use on your phone, and leave without losing your data. Foundation is built for independent UK agencies and self-employed agents, with sales and lettings in one system, month-to-month pricing and full CSV export at any time.

Does Foundation handle lettings as well as sales?
Yes. Tenancies, deposits, compliance certificates, rent, arrears, repairs, keys and landlord statements are all in the same CRM, set up for the Renters' Rights Act in England.
Can I move my data from Reapit, Alto, Jupix or Street?
Yes. Send us an export from your current system and we import your contacts, properties and tenancies for you. Your own data can be exported from Foundation as CSV at any time.
Is there a mobile app?
Yes, Foundation has an app for iPhone and iPad on the App Store, using the same login as the web version.
Does it work with Rightmove?
